Vegetation and Fleet Administrator (Full-time)
Help keep our people moving and our vegetation operations on track.
Looking for a role where no two days are the same? As our Vegetation and Fleet Administrator, you’ll help keep things organised behind the scenes, supporting Waikato Trees Services, our specialist arborist business, and coordinating our company-wide fleet across Waipā Networks.
This is a varied role that combines administration, scheduling, coordination and day-to-day problem solving. You’ll work closely with office-based and field teams to help keep work moving safely and efficiently.

What the role involves
You’ll support both our fleet operations and vegetation team, helping keep processes efficient and day-to-day administration on track.
Vegetation Team Support
· Provide administrative support to the vegetation team, including job scheduling, work orders and customer enquiries
· Coordinate vegetation work programmes so jobs are planned efficiently and information is accurate
· Raise customer invoices and support quoting for completed work
· Raise purchase orders and receipt supplier invoices, making sure costs are tracked accurately
· Liaise with customers, contractors and stakeholders, providing clear and timely communication
· Coordinate logistics, permits and subcontractor requirements for planned work.
Fleet Coordination
· Coordinate servicing, maintenance, registrations and compliance requirements for our company-wide fleet
· Maintain accurate fleet records, systems and documentation
· Liaise with drivers, managers and service providers to keep vehicles organised, compliant and ready for work
· Manage fleet administration, including fuel cards, RUCs and day-to-day fleet queries.
About you
You’ll enjoy variety and take pride in keeping things organised and on track.
You’ll bring:
· At least two years’ experience in a similar administrative, coordination or operational support role
· Strong organisational skills and the ability to manage multiple tasks and priorities
· Confidence working with a range of people, including field teams, customers and suppliers
· A proactive approach and strong attention to detail
· Strong systems capability, with confidence using a range of digital tools and the ability to quickly learn new platforms
· Experience in scheduling, fleet coordination, or a field-based or service environment, which would be an advantage
· Knowledge of fleet operations, or the ability to quickly build a strong understanding of fleet coordination and compliance requirements.
